Project Time Management Key to
Success
When it comes to almost any project, time management is the key
to success. Most people think of setting goals for a specific
date and time as being the end all be all when it comes to
properly managing their time. The truth of the matter when it
comes to larger projects is that this process is far more
involved than setting goals for specific points within the
project. Proper management of time involves every day that the
project is in place. There should not only be overall project
goals in order to keep the project on task and on target but
also accountability goals for everyone involved in the
project.
The overall project time management process should be carefully
planned and laid out in order to avoid possible confusion.
Individuals on a project should have daily goals and an
achievable plan for how to achieve those goals. Once those
goals are met they should be forwarded to the project manager.
This allows the manager to be appraised of project time
management without the need to micromanage every aspect of the
project.
Email is a great tool when it comes to project time management.
If used improperly, however, email can become the source of
rampant time mismanagement. You need to know the strengths and
weaknesses of everyone involved on the project. Some people are
more effective verbal communicators while others are much
better at writing and reading instructions. At the same time
you will find that there are those who find themselves easily
distracted by email. This becomes lost time and should be
avoided at all costs when working on tight
deadlines.
It is up to the project manager to find effective methods of
project time management for his or her team. This is part
science and part trial and error as teams evolve and even the
members of your team will grow and regress personally and
professionally. Effective time management is a balancing act
for all involved. You should take great care that any issues
that need to be tended are addressed quickly in order to avoid
costly delays in the future.
When planning project time management you should always leave a
little breathing room for sick employees and family emergencies
that may arise. The problem with emergencies is that they never
seem to happen when things are running smoothly. You never know
when an integral part of your team may need to be replaced
(even if only temporarily) in order to keep things on schedule
for meeting your deadline. For this reason alone you need to
keep as many tasks as possible on or ahead of schedule during
your project planning and implementation stage.
Another thing to keep in mind when planning your timeline for
project time management is that each member of your team has
strengths and weaknesses. By planning tasks according to team
member's strengths and weaknesses you are insuring a greater
possibility for successful completion of the project on time or
ahead of time. Too many times in the corporate environment we
see projects get railroaded by not properly placing the talent.
Use your experts in their fields of expertise rather than
attempting to use projects to expose weaker members to tasks
that they are not fully confident of their skills or competent
in their abilities to achieve. The delays that misappropriating
talent cause can be devastating if careful oversight isn't
provided in these situations.
It takes time and experience for project leaders to grow
comfortably into that role. Learning proper project time
management skills early in the process will help you achieve
your goals of success with your team.
